Challenges

Pool operators and swimming pools face particular challenges when it comes to recording working hours. Everyday life is characterized by shift work, weekend and public holiday work, seasonal staff in indoor and outdoor pools, short-term changes to duty rosters and different roles such as lifeguards, cashiers or technical management. Working hours, overtime and deployment times must be documented in a transparent, comprehensible and TVöD-compliant manner, especially in municipal swimming pools and public sector companies. At the same time, HR managers expect clear personnel time recording in pool operations that does not further complicate the operation of indoor and outdoor pools or leisure pools. A lack of transparency, manual processes and inconsistent recording systems cost time, increase the coordination effort and increase the risk of errors.

A solution that meets the organizational requirements of pool operators.

Seamless integration

ZMI’s time tracking system can be easily connected to common payroll systems such as AKDB or solutions such as VOCUS Lohn or DATEV. This means that working times and absences are transferred directly to payroll accounting without any additional effort – transparently, without errors and without duplicate data entry.

ZMI - App order bookings

Stationary hardware, mobile terminals or native app

Recording works either via mobile recording hardware with an M2M SIM card or via a mobile app. This means that even branch offices without a stable network connection can reliably document their working times, as the app is offline-capable and data is automatically synchronized when a connection is established. In addition, regular driver’s license checks can be carried out and documented in an audit-proof manner.

GoBD & GDPR compliance

ZMI fulfills all legal requirements for proper working time recording. All data is stored in a tamper-proof manner and is documented in an audit-proof manner – GoBD-compliant and therefore auditable. At the same time, the solution guarantees the highest standards of data protection in accordance with the GDPR, including role-based access and encrypted transmission.

Transparency & traceability

Managers and HR departments have a clear overview of working hours, absences and cost centers at all times. Dashboards and reports can be used to create targeted evaluations by employee, project or department – and can be presented transparently for audits or committees if required.

Electronic access control for pool operations

Electronic access control regulates the internal access of employees and service providers and ensures that technical rooms, chemical storage and safety-relevant areas are only accessed by authorized and qualified persons. Time and role-based authorizations, clear logging and the elimination of mechanical keys support secure, controlled and traceable technical operations.

Why ZMI is a particularly good fit for swimming pool companies:

Pool operations place special demands on organization, personnel and safety. Different areas, changing shifts and a high level of responsibility in day-to-day operations require solutions that realistically map and reliably support everyday life. ZMII also supports the TVöD, TV-L and TV-B pay scale regulations and ensures maximum transparency and relief in personnel administration.

    Frequently asked questions

Answers to your most important questions

What types of baths is the solution suitable for?

ZMI’s digital time tracking system is designed for all pools and is suitable for indoor pools, outdoor pools, spas and combined pools. The system supports different tariff models, access logics and operating modes, regardless of the season, visitor structure or range of services. This means that both classic swimming pool operations and more complex spa or combined operations with several areas (e.g. bathing, sauna, physio and other additional services) can be mapped.

ZMI’s solutions are designed for both municipal and private operators. Special requirements of public operators, such as the mapping of collective bargaining regulations in accordance with TVöD, TV-L and TV-B, are taken into account, as are the business requirements of private operators. This means that ZMI is also suitable for mixed-economy models or operator cooperations.

Yes, the ZMI solutions enable the central management of several pools or locations within one system thanks to their multi-client capability. Tariffs and evaluations can be consolidated across locations, while location-specific control (e.g. different opening hours or organizational structures) remains possible. This is particularly relevant for cities, municipalities or operator associations with several facilities.

Yes, even remote or temporary locations such as bathing lakes can be connected. The solution is designed so that it can be operated with a reduced infrastructure, for example via mobile devices or mobile terminals with an M2M SIM card for connectivity via 4G/LTE. This means that seasonal offers or locations without a fixed IT structure can also be reliably integrated into the overall system.

Yes, the ZMI – Auftrag module can be used to digitally record not only working times but also task- and assignment-related times in pool operations. For example, employees can book stationary or mobile times for recurring tasks (e.g. pool supervision, cleaning or maintenance work) as well as for event-related assignments (e.g. special events, malfunctions, additional services). This creates transparency regarding personnel expenses, supports traceability in operations and provides a reliable basis for planning and controlling.
