Seamless integration
ZMI’s time tracking system can be easily connected to common payroll systems such as AKDB or solutions such as VOCUS Lohn or DATEV. This means that working times and absences are transferred directly to payroll accounting without any additional effort – transparently, error-free and without duplicate data entry.
Flexible for all areas
Whether administration, building yard, daycare center or swimming pool – with ZMI, all work areas of a municipality can be digitally mapped. Working hours can be recorded by cost center or vehicle, so that building yards can accurately document and invoice their services, while daycare centers and administration benefit from flexible duty rosters.
Stationary hardware, mobile terminals or native app
Recording works either via mobile recording hardware with an M2M SIM card or via a mobile app. This means that even branch offices without a stable network connection can reliably document their working times, as the app is offline-capable and data is automatically synchronized when a connection is established. In addition, regular driver’s license checks can be carried out and documented in an audit-proof manner.
GoBD & GDPR compliance
ZMI fulfills all legal requirements for proper working time recording. All data is stored in a tamper-proof manner and is documented in an audit-proof manner – GoBD-compliant and therefore auditable. At the same time, the solution guarantees the highest standards of data protection in accordance with the GDPR, including role-based access and encrypted transmission.
Transparency & traceability
Managers and HR departments have a clear overview of working hours, absences and cost centers at all times. Dashboards and reports can be used to create targeted evaluations by employee, project or department – and can be presented transparently for audits or committees if required.
Secure access control for critical infrastructures
Many municipal facilities operate utilities or facilities that fall under the NIS-2 or KRITIS guidelines. These sensitive areas can be reliably protected with access control from ZMI. How can digital time tracking relieve the administration?
With ZMI’s digital time tracking, working hours and absences are automatically recorded and centrally evaluated. Paper lists, manual transfers and error-prone Excel spreadsheets are now a thing of the past. Vacation and absence requests can be processed digitally and duty and shift schedules can be managed efficiently. This saves time, reduces administrative work and creates transparency across all areas – from administration to the building yard.
Which payroll programs are supported?
ZMI has numerous interfaces to common payroll systems that are frequently used in the municipal sector. These include AKDB, VOCUS, DATEV and Hamburger Software. Data is transferred digitally and without media discontinuity, so that payroll accounting can be created quickly, securely and without manual rework.
Is the solution also suitable for small municipalities?
Yes, ZMI is scalable and therefore ideal for municipalities of all sizes. Small administrations can start with a compact solution and connect additional modules or work areas such as building yards, kindergartens or swimming pools at any time if required. This allows the system to grow flexibly with the requirements of your municipality.
How are external locations such as kindergartens, bathing lakes or a building yard connected?
Field offices can be easily integrated via stationary terminals, mobile recording devices with an M2M SIM card or the ZMI – App. Employees can also record their times without a stable internet connection, as the ZMI – App works offline and synchronizes the recorded data as soon as an online connection is re-established. Thanks to the multi-client capability of the ZMI software, different facilities or organizational units can be managed in one central system. At the same time, client separation ensures that data is strictly separated and can only be viewed by authorized persons. In addition, driving license checks or access rights can be controlled via the system to ensure security and traceability.
Does ZMI also support the recording of order times?
Yes, the ZMI – Auftrag module can be used to digitally record project and order times, including the associated activities, in addition to working times. For example, employees of the building yard can record their times both stationary and mobile on standing orders or event-related orders.
