Electronic Certificate of Incapacity for Work (eAU)

ZMI now provides an interface between time tracking and statutory health insurance (GKV) to digitally retrieve certificates of incapacity for work. The ZMI – eAU module has been tested and approved by the Information Technology Service Center for Statutory Health Insurance (ITSG).

Legal basis

Since January 2023, the use of the electronic certificate of incapacity for work (eAU) has been mandatory for employers. The eAU is issued to employees who are unable to work by their treating physician, who participates in the eAU process. It replaces the previous paper certificate and is transmitted digitally by the doctor to the relevant health insurance provider or the GKV server. Sick employees then report their absence to their employer so that the employer can send an eAU request to the GKV server.

How to Benefit from ZMI – eAU

With our new ZMI – eAU solution, our users in the HR departments can digitally query the statutory health insurance provider (GKV) about an employee’s inability to work—for employees covered by statutory health insurance—directly from the digital time tracking system. Since employees’ HR master data is already available in the time tracking system, there is no need for time-consuming double data entry.

Especially when payroll processing is outsourced to an external provider, such as a tax accounting firm, the sick leave reporting process—including the associated eAU query—can be significantly streamlined and carried out without any data discontinuities. Subsequently, the days of absence during the payroll period, along with other gross payroll data from the digital time tracking system, can be transferred via a digital interface to the payroll software (e.g., DATEV).
